IPM Collaboration Access Point Overview

The IPM CAP is designed to provide third parties access to IPM documents for information, updating and uploading. All IPM Entities that have a "Send To" feature can be displayed through the CAP and it is in fact the addition of a contact into the send to area that provides the basis of the CAP security model. CAP Users do not require either a CRM user license or an IPM License although the CAP will require an activation license to enable the feature.

 

The CAP provides access to documents using a web page that provides a document type selector, a list of the documents that can be accessed based on the logged on users inclusion as a send to contact and an area that provides access to the child records on the selected document. For example, a user that selects a Document type of "Subcontract" would have access to the detail lines of the subcontract in the details section of the CAP. They would also have access to any other related records such as drawings, and invoices headers.

 

The CAP provides a facility to allow third parties to upload documents for example Subcontractor Invoices, Submittals, new Drawing Revisions. These uploads are added to a special IPM Entity specifically designed to host these uploads. These uploaded files can then be processed through using an IPM Process Dialogue to become the target document. This processing would be done by a regular IPM User, not by the third party so the document upload facility is designed with a gate keeper concept in mind.

 

The CAP also introduces a new Authentication model to the IPM Document libraries. Users that access the CAP or users that access the IPM Download facility using hyperlinks from IPM Documents will need to authenticate their email addresses to access a password. This process has been designed to be as simple and automated as possible and should require no direct management by an IPM administrator. Emails are generated automatically from within IPM either on demand or using an automated workflow. These emails request the user to activate their account as a result of which they will receive another automated email which includes their password. They can then user their email address and password to access the CAP. The CAP has a remember me facility so that they will not need to constantly login to the CAP, login will be automatic.

 

The addition of this authentication allows IPM to log all CAP and download activity against the email address of the external party
